Approve CARA Logs

Approving logs looks a little different for each part of the workflow. Logs will automatically begin with the Log Admin approval, then route to the Compliance Admin for review and approval, and end with the student-athlete for completion. Only the Compliance Admin has the ability to manipulate/skip the order of this workflow.

Approving CARA Logs- Log Administrator:

As a Log Admin, to approve a log, navigate to the Calendar module and then to the Logs tab.

Sort the logs however you wish using the filters along the top (year, dates, status). Click directly on the week of interest OR click the three-dot icon on the right side of your screen and click “View Log”.

Click the “+” sign next to each athlete's name to view their individual hours. Make direct changes to an individual athlete's log by clicking directly on the appointment. A pop-up box titled "Edit Log Entry" will populate.

Make the changes you need to the appointment here and click “Apply Changes” to save your changes.

Another pop-up will populate asking whether you would like the changes applied to "This student-athlete only" or "This and all other attendees".

Click "OK". 

Once you have finished reviewing the log, click “Submit for Approval” in the top right-hand corner. (The log will now be sent to the Compliance user for review and approval).

Approving CARA Logs- Compliance:

As a Compliance user, to approve a log, navigate to the Time Management module. You will land on the CARA Logs page within the Reports tab.

Sort the logs however you wish using the filters along the top (year, teams, dates, status). Click directly on the week of interest OR click the three-dot icon on the right side of your screen and click “View Log”. (Note: As a Compliance Admin you will only have the "View Log" option if the Log is "Waiting on Compliance". If the log is in "Draft" status the compliance Admin has the ability to "Assign" the log to whichever step in the workflow they wish).

If a log is in “Waiting on Compliance” you can click directly on the week of interest OR click the three-dot icon on the right side of your screen and click “View Log”. 

Click the “+” sign next to each athlete's name to view their individual hours.

Click “Request Changes” to add a message. (An email with your message will be sent to the Log Admin for them the review and approve the log again).

Click “Mark as Approved” if you want to approve the log. Approving the log will send the log to the student-athletes. 

Once a log is in the "Waiting on SA" status, as a Compliance Admin, you can click the three-dot icon and click "Mark as Completed". This will complete the log without needing student-athlete approval.

Approving CARA Logs- Student-Athlete:

As a student-athlete, to approve a log, log in to your Teamworks app and locate the Activity Logs section at the bottom of the Dashboard

Click on a log and review the log for accuracy. Add any notes you deem necessary and click “Approve” or “Deny”. (Any notes added by the student-athlete will be accessible by the Compliance Admin).

(Student-athletes can also access their logs directly through the email/notification they receive when a log is ready for them).   

Notes:

*Log administrators and Compliance must approve logs on the web. Student-athletes must approve logs on mobile and must be on the latest version of the Teamworks application. They will receive an email when there is a log ready for them to approve.
