View CARA Logs

Viewing CARA logs helps you get a pulse on when and what your teams are participating in. View the logs of desired weeks to see the individual hours for each day as well as the individual hours for each athlete. CARA logs can be viewed by the Compliance user, the chosen Log Admin for each team, as well as anyone who is added as a Log Viewer. 

Viewing CARA Logs: Log Administrator

A Log Administrator will view logs by navigating to the Calendar tab and then selecting Logs. Here they can filter by year, date, and/or status to view the logs they wish. Click directly on the log you wish to view, or click the three-dot icon and choose “View Log”. 

Here you will see a list of your student-athletes with their countable hours for the week. Click the “+” button in order to expand the details. 

If a Log is in Draft status the Log Admin will be able to either Submit for Approval or Regenerate. Submitting the log for approval will send it to the Compliance user for review. Regenerating the log will recreate the logs for that week and include any changes made since the previous generation.

Viewing CARA Logs: Compliance

A compliance user will view logs by navigating to the Time Management tab, Reports tab, and then the CARA logs tab. Here they can filter by year, team, dates, and/or status to view the logs they wish.

Click on the line of the log you wish to view or click the three-dot action icon on the right-hand side of the screen, and click View Log

Here you will see a list of your student-athletes with their countable hours for the week. Click the “+” button in order to expand the details.

Viewing CARA Logs: Multi-Sport Student-Athletes

When viewing a multi-sport student-athlete’s CARA hours within a weekly log, you will see an icon ⓘ next to their name, which indicates the student-athlete is also a member of another team that is currently in-season.  When viewing the out-of-season team’s log, the student-athlete’s weekly hours will not show red until the student-athlete exceeds 20 hours, since the student-athlete is also a member of a team that is in-season.

*Important Notes:

*The icon will only appear next to a student-athlete’s name if the team’s log that is being viewed is currently out-of-season and the student-athlete has another team that is currently in-season.

*If both teams are currently out-of-season and the student-athlete exceeds 8 hours/week total, the log for the student-athlete will be highlighted red.

*If both teams are in-season and the student-athlete exceeds 20 hours/week total, the log for the student-athlete will be highlighted red.

Adding a User to Log Viewer:

To add a user as a log view navigate to the Time Management tab, then the Plans tab and select the team you will be working within. 

Click Team Settings and scroll down to CARA Logs. Click within the selection box to search users or click the three-dot action icon to bring up the user selection box to search users by user type or status. 

Click Save once you have made your selection(s), and then click Save Changes at the bottom right-hand side of the page. The chosen user(s) will now be able to view logs by navigating to Calendar > Logs. 

Notes:

*We recommend that compliance chose to auto-generate logs for their coaches, meaning that logs will generate automatically each week. See Configure Team Settings for more information on auto-generating logs.

*If you are unable to view logs, reach out to your Compliance department for access as they will need to add you as a Log Viewer.

*Time Management Admin permissions are required to add a Log Viewer.
